Choosing a supplier: what matters beyond price?
The lowest price is not always the best fit. Compare specifications, delivery costs, completion dates and support on equal terms.
Make proposals comparable
The same product name can refer to different configurations or service levels. Installation may be included in one quotation and priced separately in another. Give every candidate the same specification, quantity, address and deadline. Ask suppliers to identify any differences in an alternative offer.
Use a comparison checklist
| Criterion | What to check |
|---|---|
| Total cost | Product, transport, installation and additional services. |
| Suitability | Technical specifications and scope against your requirements. |
| Schedule | Start, delivery and handover dates. |
| Support | Contact person and response procedure. |
| Evidence | Similar work, specifications or a sample. |
Record the answers. Treat blank fields as questions to clarify, rather than positive answers.
Assess relevant experience
Years in business do not by themselves establish experience with your order. Ask how the supplier handled work of a similar size or type. Request shareable examples and specifications, rather than another customer’s confidential documents.
Reduce uncertainty with a trial
Where practical, request a sample, a small batch or a limited first stage. State what the trial will test: size, material, compatibility, quality or scheduling. Even after a successful trial, confirm the conditions for the main order, since larger quantities may change lead times.
Turn the agreement into concrete steps
Confirm scope, handover stages, included services and responsible contacts in writing. Replace “fast delivery” with a specific deadline and define exactly what installation includes.
- Describe the product or service precisely.
- Agree how changes will be approved.
- Define acceptance criteria in advance.
- Identify contacts and the next action date.
Find candidates in the company directory or browse logistics companies for delivery needs.
